ADMINISTRATIVE ASSISTANT

QUALIFICATIONS
The ideal candidate will be a dynamic, self-motivated, and collaborative person with 2+ years of experience, preferably in the Creative/Arts/Public Health/ industry and a degree in marketing, communications, fine arts, administration or related fields. Administrative Assistant will report directly to Studio Director.

TASKS
— Prioritize and manage project timelines in a fast-paced environment
— Understand material costs, print process, and time limits that impact
design requirements
— Effectively communicate and coordinate design projects with outside vendors
— Work closely with administrative team (CFO) to expand company
— Manage staff and assigning specific duties
— Completing employee performance reviews for direct reports
— Content calendar creation and development for Facebook, Twitter and Instagram
— Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
— Providing real-time scheduling support by booking appointments and preventing conflicts
— Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
— Screening phone calls and routing callers to the appropriate party
— Flexibility and adaptability in problem-solving on the fly
— Flexibility with hours when needed
— Exceptional ability to interpret client requests and transform them into sophisticated design solutions to achieve business goals

REQUIREMENTS
— Ability to think several steps ahead while keeping important details in mind
— Excellent phone, verbal and written communications skills
— Proficiency in Google applications (including GStuite, sheets, docs, slides, etc.)
— Knowledge or willingness to learn about the public health industry
— Ability to meet deadlines and manage multiple projects simultaneously and be flexible to the ever-changing environment of a fast-growing company
— Excellent communication skills and organizational skills
— Attention to detail
— Expertise in multi-tasking, setting priorities and time management
— Ability to work independently and/or with a team
